Use of Service Policy

Arrival 

We ask all parents/guardians to ensure children arrive on time, and no earlier than 15 minutes before the designated start time for the day/session or the relevant SCL Programme. We are unable to take responsibility for children who arrive earlier. Being late affects the other children and the plan for the day, so please ensure you arrive on time.

 

Departure / Pick-ups

We also ask all parents/guardians to arrive at least five minutes before the designated end time for the day/session. No child will be able to leave the premises without a parent/guardian unless written notification is received before the start of the SCL Programme detailing suitable alternative arrangements.

 

Walking Home Alone

We will allow children who are in year 5+ to sign themselves in and out of our clubs. This is provided we receive written confirmation from the parent/guardian of such arrangements. We would need 48 hours notice to ensure all partners can be notified and confirmed happy with arrangements.

For our term-time provisions, we must also receive written confirmation from the individual school that this arrangement is agreed to by them. We reserve the right to contact parents of children with such arrangements and request they are signed out by a responsible adult if they do not feel comfortable allowing those children to walk home alone.

Parents are also responsible for ensuring the route that their child may walk home has been adequately risk assessed for the appropriateness of the journey. Details of the agreed single route must be written clearly in the permission letter. We also request that any journeys must be a maximum of 15 minutes, that the child is aware of their home phone number and that an adult will be at home to greet the child.

During the darker months of November to March, we reserve the right to cancel all walking home arrangements due to the increased risk to the child with the darker evenings.

 

Sickness 

Children cannot attend if they are sick or unwell (including vomiting, diarrhoea, conjunctivitis, and head lice). All children who are ill or infectious are to be kept at home during their illness and for 48 hours after the last symptom occurs. You are responsible for providing us with all relevant information on any pre-existing health and medical conditions and any adjustment(s) that need to be made for your child.   Medicines will only be administered if written consent is given by parent/guardian.

Where a child falls ill during the day, and we think it necessary, their parent/guardian shall be called to take the child home and you agree to collect your child without delay.

 

Behavioural Standards and Exclusion 

SCL expects all children to always behave in a manner that is acceptable to both other children and SCL staff.

SCL reserves the right to exclude a child from the SCL Programme where he/she fails to maintain the required behavioural standard. Such failure shall include, but not be limited to, bad behaviour, racial, sexual, verbal or physical bullying of a fellow child or member of staff. Transportation of the affected participant(s) home will be the responsibility of the parent/guardian, and no refund or credit will be issued.

 

Allergies

SCL have a strict NO NUT policy, which MUST be adhered to at all times.

There may be occasions where other severe allergies are made known to us, where we will be requesting restrictions on any particular days. We will notify you via email on these occasions and you must follow our instructions.

 

Health and Safety 

SCL require parents/guardians to notify us of any of the following about the child:

  • pre-existing allergies,
  • medical, physical or behavioural conditions / disabilities
  • medication requirements.

We need this information so that can make provision for the child’s specific needs and make any adjustments that may be required.

The information provided by you is then provided to the SCL on-site team via the Child Information Form and Detailed Register. If this information is not provided, we reserve the right to exclude the child.

First Aid will be administered to children in the event of an accident whilst under our care.  If the accident is serious, we may need to call the emergency services and you will be informed immediately.

We have comprehensive policies and procedures for major accidents that all our staff are trained on, specifically please note:

 

EpiPen Guidelines 

SCL staff are not qualified to administer EpiPens (an emergency treatment of anaphylaxis). However, they are permitted to do so if we receive a letter containing written permission from the parent/guardian and any particular instructions that apply to the EpiPen. The parent/guardian must state in the letter that permission is given to administer the EpiPen instructions but that the parent /guardian fully understands and accepts that staff may not be qualified to do so and that the parent/guardian accepts full responsibility to the maximum extent allowed by law.

 

Medical Conditions and Allergies 

The parent/guardian must state on their child’s details page if there are any medical conditions, allergies or any relevant background information that SCL staff may need to be aware of while their child is attending a SCL Programme. You must contact SCL in advance to discuss any individual requirements.

 

Medication 

The parent/guardian must give written consent for the administration by SCL staff of prescribed medication and complete a SCL medication form.

 

Emergency First Aid 

The parent/guardian gives consent for SCL to administer emergency first aid and see professional medical help where necessary.

 

Safeguarding 

All SCL Education Group staff, regardless of position go through a strict safer recruitment process including enhanced DBS clearance reference checks, disqualification by association checks and complete ongoing training.

SCL staff have a duty to act if they suspect a child in their care may be suffering from abuse or if a child makes a disclosure about abuse. In such an event, the member of staff will follow the Safeguarding Children Policy as detailed in our policies and procedures.

 

Equal Opportunities 

SCL is an equal opportunities employer and welcomes all children, regardless of their gender, ability, race or religion. Each child attending a SCL Programme is of equal value and is entitled to equal access of opportunity. We operate a zero-tolerance policy on discrimination or bullying of any kind.

 

Additional or one to one support 

If a child requires additional or one to one support, SCL must be notified before attendance. We may need to cancel the booking if suitable arrangements have not been arranged. SCL are unable to source one to one support internally but do welcome a one to one carer from external sources, subject to suitability checks.

 

Lost Property 

Please ensure children do not bring valuable toys or belongings when attending SCL Programmes. Mobile phones and other electrical devices are not permitted at our venues. SCL cannot accept liability for lost, stolen or damaged items. Please ensure clothing and other belongings are clearly labelled with the child’s name to help us return unclaimed items. Lost property will be kept at the SCL office for a period of three weeks after the end of the SCL Programme. If items are still unclaimed after this period, SCL will distribute them to local charities.

 

Photography 

From time to time, SCL may take photographs of activities  for marketing and promotional purposes. We will ask for your consent, during the on-line booking process, to ensure that you are happy for us to include your child in any such photos and for SCL to use them for marketing purposes.

 

Insurance 

Our Public Liability Insurance covers all children under our care.

 

Mobile Phones and Electronic Devices 

Mobile phones and other electronic devices (e.g. Tablets, games consoles) are prohibited on our SCL Programmes and at our venues.  If you wish for your child to carry a mobile phone and they are seen using it without prior permission from the site leader, we will confiscate it until the end of that day. SCL will not take any responsibility for the damage or loss of any electronic devices that are brought onto SCL Programme.

 

Policies and Procedures 

SCL Programme policies and procedures will be available to view at the registration desk of holiday activity venue and available from head office upon request, venue details can be found on  http://wearescl.co.uk/holiday-activities.

 

Your Booking Account 

If you do not log into your account for 24 months, we may treat your account as inactive and delete it from our systems. Further information on our retention policy is set out in our Privacy Policy.

 

Use of Service Policy
